As a member of the Centre for Printing History and Culture we hold personal data about you that you have either given to us or that we have acquired through our dealings with you. A modification to the law means that your rights in this context have changed and that we must advise you of a number of things. The information that we hold
The personal information that we hold about you has been provided by you, normally by provided by you when you have made an application for membership to the Society or if you have elected to join our mailing list. It may also be if you interact with us at any of our events, and it consists of: name and email contact details. We do not collect personal financial details of banking information or process direct debits. We do not hold what is classified as ‘special category’ or sensitive data.
How your information will be used
The information we hold and process is and will continue to be used for our management and administrative purposes; we will keep and use it to enable us to run the Centre and manage our relationship or contract with you effectively, lawfully and appropriately. This includes using information to enable us to comply with any legal requirements, pursue the legitimate interests of the organisation and protect our legal position in the event of legal proceedings. For example, we supply you with periodic e-newsletters or details of events planned. If you feel unable to provide this data, we may be unable in some circumstances to comply with our obligations and we will tell you about the implications of that decision. Where we are processing data based on your consent, you have the right to withdraw that consent at any time. We do not supply your personal details or disclose information about you to third parties unless legally obliged to do so, or where we need to do so to comply with our contractual duties to you. We do not transfer any personal data outside the UK or beyond the EU. If in the future we intend to process your personal data for a purpose other than that for which it was collected, we will provide you beforehand with information on that purpose and any other relevant information.
The Centre for Printing History and Culture is the Data Controller under the General Data Protection Regulation (GDPR) and The Data Protection Act 1998 (DPA). You have a number of legal rights with regard to your personal data:
- the right to be informed about personal data being processed;
- the right to request from us access to the personal data we hold about you;
- the right to require us not to send you marketing communications;
- the right to require us to correct the personal data we hold about you if it is inaccurate;
- the right of erasure of your personal data;
- the right to restriction of our data processing;
- the right to object to processing on grounds relating to your particular circumstances where you feel that it has a disproportionate impact on you rights.
If you have provided consent for the processing of your data, you have the right (in certain circumstances) to withdraw that consent at any time which will not affect the lawfulness of the processing before your consent was withdrawn. If you make a request for the data that we hold about you, you have the right to receive it in any reasonable format specified by you, even including for the purpose of transmitting that personal data to another data controller. This only applies where we retain the data by automated means.
The lawful basis under which we are enabled to hold and process your personal data is:
- The legitimate interest of the Centre for Printing History and Culture;
- Necessity for the performance of the contract between the Centre for Printing History and Culture yourself;
- Clear and informed consent based either on your written application to the Society or having completed our on-line subscription to our e-newsletter.
How long do we hold your personal information?
We only retain your personal data for as long as necessary which in reality means during the duration of your membership or for a reasonable period when a membership fee remains unpaid.
There are overriding criteria which would decree that we would retain data if the risk existed that any claim could be made against the Society.
